Privacy Policy

1. Introduction
AI Interview Agents is run by Auring Technologies ("we", "us"). You can reach us about anything in this policy at contact@aiinterviewagents.com.
For our website, recruiter accounts and the demo interview, Auring Technologies decides how your data is used (it is the controller). When a recruiter interviews you through our service, the recruiter's company decides how your interview is used and is the controller; we process it on their behalf. Questions about such an interview can go to that company or to us, and we will pass them on.
2. Information We Collect
We collect several types of information from and about users of our Services, including:
2.1 Personal Data
Personal Data refers to information that identifies you or makes you identifiable. We may collect the following types of Personal Data:
- Account Information: When you create an account, we collect your name, email address, password, and profile information.
- Contact Information: If you contact us, we collect your name, email address, and any other information you provide.
- Payment Information: If you subscribe to our paid services, we collect payment information, including credit card details or other financial information.
- User Content: We collect the content you create, upload, or share through our Services, including text, images, and other media.
- Résumés and Job Descriptions: When you choose to personalize an interview, we collect the résumé you upload (for example, a PDF or Word document) and the job description you upload or paste. We store the original files in our cloud storage and retain the text extracted from them so we can tailor your practice session and feedback.
2.2 Usage Data
We automatically collect certain information about how you interact with our Services, which may include:
- Device Information: We collect information about your device, including IP address, browser type, operating system, and device identifiers.
- Usage Information: We collect information about your interactions with our Services, such as the pages you visit, features you use, and the time and duration of your activities.
- Location Information: We may collect information about your approximate location based on your IP address. Some employers ask candidates to share their location once before an interview. It is optional, and the employer sees only the city and country.
- Cookies and Similar Technologies: We use necessary browser storage for login and your analytics consent choice. If you accept optional analytics, we also use Microsoft Application Insights and Mixpanel and Microsoft Clarity. Our first-party analytics uses a random visitor cookie that lasts for up to 180 days and session metadata that resets after 30 minutes of inactivity. It records the source, page, device type, and last recorded page. After sign-in, the visitor may be linked to your Firebase account ID. Clarity runs only on selected public marketing, recruiter, feature, login, and registration pages. It records clicks, form progress, engagement, technical information, and a session replay. We mask all page text and form entries, mask media and embedded content, remove URL query details before sending data, and use random analytics identifiers instead of your name, email address, or account ID.
3. How We Use Your Information
We may use the information we collect for various purposes, including:
- To provide, maintain, and improve our Services
- To process and complete transactions
- To send administrative information, such as updates, security alerts, and support messages
- To respond to your comments, questions, and requests
- To personalize your experience and deliver content tailored to your interests
- To generate interview questions tailored to a specific role and to evaluate your interview responses, including by analyzing the résumé and job description you provide
- To monitor and analyze trends, usage, and activities in connection with our Services
- To detect, prevent, and address technical issues, fraud, and other illegal activities
- To comply with legal obligations
3.1 Legal Basis
- Contract: to run your account, your subscription and the services you ask for.
- Consent: to record the demo interview, to send hiring tips and product news, and for optional analytics cookies. You can withdraw consent at any time; this does not affect what we did before.
- Legitimate interests: to keep the service secure, prevent fraud and fix technical problems.
- Legal obligation: where the law requires us to keep or disclose data.
Before an interview is recorded, you tick a box agreeing to the recording. We keep the sentence you agreed to and the time you agreed to it with the interview.
3.2 How Long We Keep Data
- Interview videos, transcripts and reports: until the recruiter deletes the interview or their account, or until you ask us to delete them.
- Demo interview and website form details: until you ask us to delete them. You can unsubscribe from hiring tips at any time.
- Accounts: while the account is open.
- Analytics: the visitor cookie lasts up to 180 days, Microsoft Application Insights keeps events for 90 days, and Mixpanel and Microsoft Clarity keep data for the periods those services set.
When we delete data, it leaves the service at once. A locked copy that no one uses may remain for up to 30 days before it is erased for good.
4. How We Share Your Information
We may share your information in the following circumstances:
- Service Providers: We may share your information with third-party vendors, service providers, contractors, or agents who perform services for us or on our behalf. This includes third-party AI/large language model providers, to whom we send your interview responses and the text of any résumé or job description you provide, so we can generate tailored interview questions and feedback.
- Optional Analytics: After you accept analytics, Microsoft Application Insights and Mixpanel receive product usage events. For signed-in users, Mixpanel account profiles may include name, email address, and role. Microsoft Clarity receives masked session replay and interaction data only from the selected public pages described above. We send Clarity data through a connection controlled by your consent and do not load its hosted tracking script or advertising pixels. You can withdraw permission in Cookie settings. Withdrawal stops new optional events and replay uploads, cancels pending replay uploads, and removes optional analytics identifiers from your browser. It does not delete records that were already received.
- Business Transfers: If we are involved in a merger, acquisition, or sale of all or a portion of our assets, your information may be transferred as part of that transaction.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
- With Your Consent: We may share your information with third parties when we have your consent to do so.
5. Data Security
We implement appropriate technical and organizational measures to protect the security of your personal information. However, please be aware that no method of transmission over the Internet or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your personal information, we cannot guarantee its absolute security.
6. Your Data Protection Rights
Depending on your location, you may have the following rights regarding your personal data:
- The right to access the personal data we hold about you
- The right to rectify inaccurate personal data
- The right to request the deletion of your personal data
- The right to restrict the processing of your personal data
- The right to data portability
- The right to object to the processing of your personal data
- The right to withdraw consent at any time
- The right to complain to the data protection authority where you live or work
To exercise these rights, please contact us using the information provided in the "Contact Us" section below.
When a recruiter deletes a role, a candidate or an interview, we keep a copy for 30 days so it can be restored on request. After 30 days we delete it permanently.
7. Children's Privacy
Our Services are not intended for children under the age of 13. We do not knowingly collect personal information from children under 13. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us so that we can take necessary actions.
8. Changes to This Privacy Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last Updated" date at the top of this Privacy Policy. You are advised to review this Privacy Policy periodically for any changes.
9. Third-Party Links
Our Services may contain links to third-party websites or services that are not owned or controlled by Auring Technologies. We have no control over, and assume no responsibility for, the content, privacy policies, or practices of any third-party websites or services. We strongly advise you to review the privacy policy of every site you visit.
10. International Transfers
We store your data in India, on Microsoft Azure (Central India region): accounts, interviews, videos, transcripts and reports. Some processing happens in the United States: the AI language model that writes questions and evaluates answers (Microsoft Azure OpenAI), and the optional analytics services if you accept them. Data protection laws in these countries may differ from yours. Where the law requires it, we rely on our providers' standard contractual clauses to protect data sent abroad.
11. California Privacy Rights
If you are a California resident, you have certain rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including:
- The right to know what personal information we collect about you
- The right to delete personal information we have collected from you
- The right to opt-out of the sale of your personal information
- The right to non-discrimination for exercising your CCPA rights
To exercise these rights, please contact us using the information provided in the "Contact Us" section below.
12. Website Forms and the Demo Interview
When you ask for a screening kit, a free tool result or a demo interview on our website, we keep your email address, the page you were on, your country (worked out from your IP address) and whether you agreed to receive hiring tips. We use this to send what you asked for. We send hiring tips and product news only if you ticked the box, and every such email has an unsubscribe link. If you take the demo interview, it is recorded with your camera and microphone like a real interview, and we use the recording and your answers only to make your demo report. To have your details or your demo interview deleted, email contact@aiinterviewagents.com.
13. Outreach Emails
Some of our emails to website owners and possible partners are sent as "Nova" from nova@outreach.aiinterviewagents.com. These emails are researched and drafted with AI. When you reply, a person on our team reads your reply and answers it. If you do not want more emails from us, reply "no" and we will stop.
